AVIXA (“AVIXA,” “we,” “our,” or “us”) provides this Privacy Notice to describe how we collect, use, share, and process the personal data of individuals who visit our websites at https://www.infocomm-americalatina.org/, www.xchange.avixa.org, or any other website or application linked to this Privacy Notice (collectively, the “Sites”).

 

Information Gathering

We collect the information you provide to us when you visit our Sites, including your name, address, email address, phone number, payment information, academic information, product purchase history, employment information, and any other information you choose to provide to us. We may collect this information through registrations on the Sites, event registrations, surveys, applications, subscriptions, or any other means. We also collect information when you post messages on our forums, communicate with us via email, or post in our chat areas. If you apply for an AVIXA scholarship or grant, or wish to become an AVIXA member, employee, or volunteer, we will collect the information you provide during the application process, including your date of birth and other identifying information.

We also collect information related to your interactions with us and our Sites, such as browser type, IP address, device type, aggregated information about the pages you access or visit, your location, and other information obtained through the use of cookies and similar technologies. Please see the“Digital Advertising and Data Analytics” section of this Privacy Notice for more information about the use of this data and the options available to you.

The personal data collected on the InfoComm América Latina website InfoComm América Latina used exclusively to identify customers and for their purchases, and is not shared with third parties.

 

Use of Information

We may use the information we collect for any lawful purpose, including the following:

  • To deliver the content of our Sites, including improving that content and the ads displayed on them, to notify visitors of updates, and to recognize visitors to the Sites.
  • Provide member directories.
  • To provide the products and services you request, including membership benefits and subscriptions to our publications.
  • To promote and market products and services that we believe may be of interest to you, including communications by mail and telephone.

We may share the information we collect with the following parties:

  • Our members, including those listed in publicly available directories.
  • Affiliates, joint venture partners, and sponsors of digital and in-person events, digital content (such as videos, articles, or technical documents), and webinars, for their own use, including for marketing and advertising purposes.
  • Third-party service providers that process data on behalf of AVIXA, such as event registration companies, email service providers, direct marketing providers, and web hosting providers.
  • As part of a corporate sale, merger, acquisition, or other transfer of all or part of our assets, including bankruptcy proceedings.
  • In compliance with a subpoena, court order, government investigation, other legal proceeding, or as required by law, as well as to protect our rights or the rights of third parties.
  • With your consent or as disclosed to you at the time your personal data is collected or shared.

AVIXA does not share phone numbers or information associated with your mobile device with third parties or affiliated companies for marketing purposes. Furthermore, it does not share information related to text message subscriptions with third parties, including data regarding your consent.

We may also share anonymized or aggregated information without restrictions.

The Sites may offer interactive features, such as forums or message boards, that you can use to communicate with other visitors or to post your own content. If you disclose information in any of these spaces, that information may be viewed, collected, and used by other users.

 

Digital Advertising and Data Analysis

We may partner with advertising networks and other advertising service providers (“Advertising Providers”) that serve ads on our behalf and on behalf of third parties on unaffiliated platforms. Some of these ads may be personalized, which means they are designed to be relevant to you based on information that Advertising Providers collect about your use of the Sites and other websites or apps over time, including information about the relationships between different browsers and devices. Withholding

We will retain and process your personally identifiable information only for as long as necessary to fulfill the purpose for which it was collected or for the period permitted by applicable law.

To determine the retention period for personal data, we consider, among other factors, the applicable legal retention period and, in the case of certain data used for marketing purposes related to our events or other products, a maximum period of four years from the last interaction with you.

We also take into account the amount, nature, and sensitivity of the personal data; the potential risk arising from its unauthorized use or disclosure; the purposes for which it is processed; the possibility of achieving those purposes by other means; and the applicable legal requirements.

Once the applicable retention period has expired, personal data will be routinely deleted or anonymized, provided that there is no longer a legal obligation requiring its retention—for example, to fulfill or execute a contract.

Consent records for SMS communications and activity related to such messages will be retained only for as long as necessary to provide this service or to comply with applicable legal or operational requirements. Your Options

To update your contact information or change your communication preferences—including opting out of receiving communications via email, phone, or mail—please contact us using the methods listed in the "Contact" section.

Even if you choose not to receive marketing emails, we will continue to send you emails related to our transactions or our relationship with you, such as event registration confirmations.

You can stop receiving SMS messages at any time by replying "STOP" to any message sent by AVIXA. You can also reply "HELP" to receive additional assistance.

After requesting to opt out of SMS communications, you may continue to receive communications through other channels unless you change those preferences separately.

 

California Privacy Rights

We may share your personal information with third parties for direct marketing purposes.

If you reside in the state of California, you may request that certain personal information not be shared with third parties for such purposes. To exercise this right, please contact us via email atavixa@avixa.org.

If you exercise this right, we will not share your personal information with third parties for their direct marketing purposes. However, we may share information about you in the cases described in this Privacy Notice.

 

Mexican Privacy Rights

The personal data we collect from you will be used for the following purposes, which are necessary to provide you with the services you request:

  • Identifying and contacting sales prospects.
  • Creation of audiences for advertising broadcasting purposes.
  • Visitor Remarketing.

In addition, we will use your personal information for the following purposes, which are not necessary for providing the requested service but allow us to offer you better service:

  • Website Visitor Statistics.
  • Behavioral analysis.

If you do not wish for your personal data to be processed for these additional purposes, you may notify us at any time by sending an email to the address listed at the end of this document, with the subject line "Use of Personal Data."

Refusal to allow the processing of your personal data for these additional purposes will not be grounds for denying you the services or products you request or purchase from us.

To carry out the purposes described in this Privacy Notice, we will use the following personal data: name, email address, and phone number.

We would like to inform you that your personal information is not shared either within or outside the country and remains in our care.

 

Access, Rectification, Deletion, and Objection (ARCO)

You have the right to know what personal data we hold about you, how we use it, and the terms under which we process it (Access). You also have the right to request the correction of your personal information when it is outdated, inaccurate, or incomplete (Rectification); to request its deletion from our records or databases when you believe it is not being used in accordance with the principles, duties, and obligations set forth in applicable regulations (Erasure); and to object to the processing of your personal data for specific purposes (Objection). These rights are known as ARCO rights.

To exercise any of your ARCO rights, you must submit the corresponding request by phone or electronically.

The department will process the corresponding requests and address any questions you may have regarding the processing of your information.

You may revoke, at any time, the consent you have given us to process your personal data. However, it is important to note that, in certain cases, we may not be able to comply with your request or immediately suspend the processing, as we may be legally required to continue processing your personal data. Furthermore, for certain purposes, the withdrawal of consent may make it impossible for us to continue providing the requested service or may result in the termination of our relationship with you.

  • Your inclusion on our "Advertising Restrictions" opt-out list to prevent us from processing your personal data for marketing, advertising, or sales prospecting purposes.
